SR ADMIN SPECIALIST
Bachelors Degree required.
Minimum of four years experience in an administrative setting assisting a staff member in an executive-level position with strong organizational, technical and leadership skills in the academic and clinical areas of the medical sciences is preferred. A successful record in program development, strategic planning, space and facility management, and medical information system management is preferred. Requires the ability to prepare detailed technical plans and reports, e.g. strategic research space projects, and the ability to examine and re-engineer operations and procedures through organization structures, policy formulation and application of new research and clinical technologies. The ideal candidate will be a self-starter who can function with minimal supervision. Prefix assignment determined by years of relevant post-graduate, professional work experience. A minimum of 7 years of post-graduate, professional work experience is required for appointment at the senior level.
The Administrative Specialist will be a primary member of the Department of Surgery Administrative Team working on various projects to enhance the clinical, education, and research activities in the Department. The incumbent will assist with the Administrators activities on behalf of approximately 800 Department of Surgery employees in many facilities and locations, including University of Wisconsin Hospital (UWH), UWH inpatient units, outpatient units and laboratory units, clinic operations at West Clinic, East Clinic, Transformations, 1 South Park and 20 South Park, the Veterans Administration Hospital (VAH), the UWH Operating Room, Transformations Cosmetic Surgery Center, the American Family Childrens Hospital (AFCH), Clinical Science Center (CSC), The American Center (TAC) and the Medical Sciences Center (MSC). Current projects include the creation and maintenance of detailed research space floor plans for all CSC, VAH, MSC, and WIMR space. As part of the departments management team, this individual will participate in strategic planning for the departments research program promoting faculty development. This position will support the Administrator, CFO, and Associate Administrator in the department. The incumbent will maintain their administrative calendars and the five conference room calendars the department has.
Specific Duties Include but are not limited to:
1. Support Administrator, CFO, and Associate Administrator in daily functions such as scheduling meetings, taking phone calls, assisting with administrative tasks and other duties as assigned.
2. Analyze and present data and reports relevant to the research and clinical operations within the Department in a variety of forms (i.e. oral, written, and graphic) to Chair of the Department of Surgery, Administrator for the Department of Surgery, seven Division Chairs for the Department of Surgery, Chief of Surgical Services for the VAH, Vice Chairman of Research for the Department of Surgery, Director
