Administrative Assistant - Surgery Division of Otolaryngology

The Administrative Assistant provides administrative support; performing various administrative duties including typing, transcribing, and providing telephone support. This position will coordinate complex daily clinical activities for the Otolaryngology Head & Neck Surgery team by scheduling patient appointments, surgical procedures, ancillary tests, and coordinating patient and referring physician(s) communication. The assistant is also responsible for coordinating patient and their family’s needs including insurance requirements, preauthorization of surgery, workers compensation paperwork, and other various activities related to patient relations.


  • Associates degree in a secretarial or medical field preferred
  • 3 -5 years medical secretarial and administrative experience required
  • Exemplary professional demeanor and customer service oriented attitude in a demanding work environment
  • Excellent oral and written communication skills, including grammar, punctuation, spelling and formatting
  • Expert user of word processing, imaging and presentation software applications in a networked Windows environment
  • The ability to work independently, possess strong organizational skills and have the ability to communicate effectively with patients, faculty, nursing staff, and other ancillary staff.
  • Requires knowledge of medical terminology, word processing skills, and ICD-9 and ICD-10 codes.
  • Valid Wisconsin State divers license


This is a full time, 40 hour per week position. Hours are Monday - Friday 8:00 a.m. - 4:30 p.m.
